#15. How do I create a team expense and pick the right Charge Type (Team / Player / Staff)?

Team Leaders Finance Role

Audience: Team leaders, members with the FINANCE role.

Short answer: From the team's finance area, click Create
Expense
. Pick a Charge Type — Team Charge splits across
selected members, Player Charge bills a single player, and
Staff Charge is staff-only. Optionally pull the date from a
calendar event.

Step-by-step

  1. Go to Finance → Create Expense for your team.
  2. Fill in description, amount, quantity, due-by date.
  3. Pick a Charge Type:
    - Team Charge — total cost is split across members you
    select (use the Split Total Cost Among Members checkbox).
    Member list shows everyone eligible.
    - Player Charge — bills a single player. The member list
    automatically greys out anyone who can't be billed under
    this type.
    - Staff Charge — staff-only. Same auto-grey behavior.
  4. Date of Expense: type a date, or click the calendar event
    picker to pull the date from a practice / tournament / meeting
    automatically.
  5. Optionally tick Add 8.25% Sales Tax (or edit the rate inline).
  6. Optionally upload a receipt.
  7. Save.

What happens behind the scenes

  • One LedgerExpense is created.
  • Child Transaction rows are spawned per billed member,
    using the per-member share (split or full amount, depending on
    charge type and the Split checkbox).
  • The default due-by-days come from the team's Payment Settings
    (separate values for practice / tournament / uniform / other).

Notes / gotchas

  • Greyed-out members can't be reactivated for the wrong charge
    type.
    That's intentional — Player Charge is a single-player
    bill, and Staff Charge is staff-only by definition.
  • The calendar event picker is the new "Date of Expense → pick
    practice or tournament" feature; it just auto-fills the date,
    it doesn't link the expense to the event in any other way.
  • Changing the charge type after selecting members may grey out
    some of your selections.
