#14. How do I auto-create a Zoom meeting on a team event?

Team Leaders

Audience: Team leaders, members managing events.

Short answer: When creating a team event, tick Auto-create a
Zoom meeting
. The platform calls the Zoom API and wires the join link
into the event's Join Meeting button. For recurring events, all
occurrences share one Zoom meeting that works indefinitely.

Step-by-step

  1. Open Manage Events for your team.
  2. Click Create Event (or pick a saved template — if the
    template was saved with auto-Zoom on, the box pre-checks).
  3. Fill in event type, title, date, time, etc.
  4. Tick Auto-create a Zoom meeting.
  5. Save the event.
  6. The event now has a populated Join Meeting button (same place
    as a manually pasted Zoom link).

What happens behind the scenes

  • One-off event: TPN creates a Zoom meeting of type 2
    (scheduled) at the event's start time.
  • Recurring event: TPN creates a single Zoom meeting of type 3
    (recurring, no fixed time). Every generated occurrence copies the
    parent's join URL — so the same link works for every session in
    the series.
  • The parent event stores zoom_meeting_id, zoom_join_url,
    zoom_start_url, and zoom_password. Children store only the
    join URL — they don't own the Zoom meeting.

Templates remember the toggle

If you check Save as template along with Auto-create a Zoom
meeting
, the template stores the toggle. Loading that template
later auto-checks the Auto-create a Zoom meeting box for you.

Notes / gotchas

  • Deleting a child occurrence does NOT kill the Zoom meeting
    the rest of the series keeps working.
  • Deleting the parent event DOES delete the Zoom meeting (the
    whole series is gone).
  • Manual paste still works — if you'd rather paste a link from
    Zoom yourself, leave the toggle off and use the Meeting URL
    field. Both flows produce the same Join Meeting button.
  • Type 3 meetings have no scheduled start time in Zoom — that's
    intentional, so the same link works whenever your recurring event
    runs.
